Cancellation Policy

Appointment Cancellation

When you book your appointment, you are holding a space on our calendar that is no longer available to our other clients. In order to be respectful of your fellow clients, please call your YMCA Allied Health Clinic (details below) as soon as you know you will not be able to make your appointment.

If cancellation is necessary, we require that you call at least 24 hours in advance. Appointments are in high demand, and your advanced notice will allow another client access to that appointment time.

How to Cancel Your Appointment

If you need to cancel your appointment, please call or email the location in which you made your booking (Contact Us). If necessary, you may leave a detailed voicemail message. We will return your call as soon as possible.

Late Cancellations / No-Shows

A cancellation is considered late when the appointment is cancelled less than 24hour before the appointed time. A ‘no-show’ is when a client misses an appointment without cancelling, or is more than 10 minutes late to an appointment without notice. In either case, you will be charged your full appointment fee.

We understand that, from time to time, unforeseen circumstances arise that impact your ability to attend your appointment. Please contact your Allied Health provider as soon as possible to explain your situation. Your Allied Health provider reserves the right to use discretion in such instances.

Do I need a referral?

Physiotherapists and exercise physiologists are first-contact providers, so you do not need a GP referral and can make a booking as a private patient.

If you have health insurance extras cover, you can claim a rebate via HICAPS.

What Funding Schemes do you accept?

If you have a GP referral for one of the below funding schemes, you may be eligible for bulk billed consultations.

  • Medicare via Chronic Disease Management / Team Care Arrangement
  • National Disability Insurance Scheme (NDIS)
  • Aboriginal Health Services
  • Department of Veterans Affairs
  • My Aged Care (Home Care Packages)
  • Return to Work SA
  • Compulsory Third Party
  • Strength for Life assessments

We also issue private health insurance rebates via HICAPS at the time of your appointment, with no referral necessary.

If you have any questions, call or email us to discuss your specific funding situation.
